1. Apologies from Natalie, Celina chair in her absence.
2. Update from Encore hand over to Tracy
Bardolph street lights
– Redrow never came back electrician came out and fixed lights but not actually fixed – are they working or not? If they aren’t working can Su let Tracy know, Su agreed to emailing Tracy should this still be an issue
– light on bridge near pond (Carnaille)– electricians have struggled to find replacement bulb not cheap and have found a replacement this is being done
– sand in the sandpit (Garland Park) needed attention please leave this to encore due to specialist sand required and sand will be topped up and play equipment maintenance will be completed.
– Street light numbering – if we have a plan from Urban and Civic then encore can number the lights to help with raising issues.
– Query for a fenced off area for dogs post on Facebook about adding a 4th fence to the bottom area of the dog walking area to allow a smaller fenced area for dogs with poor recall or issues with other dogs to allow for a more secure area to let dogs off the lead. – Tracy is happy with this and a lot of residents on Facebook have commented this is a good idea as well as on the call. One thing raised on Facebook was they didn’t want this to stop any future fenced off areas from being brought forward alongside this as a lot of residents go off site to take their dogs to secure dog walking areas and would like this to be something considered for the development as there are a lot of dogs on the development already.
– Facebook post about a hole under manhole cover near the tennis courts by Swynford Stores – Tracy said this has already been raised and is being dealt with
3. Micki fairy doors – up and running 28 doors to be found all posters gone already Micki needs to find someone with a printer – suggested that Micki email across toNatalie or the info email to see about getting more printed
4. Open gardens – Su – 11 gardens signed up, Su going to get last few details after April for the maps, – waiting on update from Natalie to sort the map but should be ok for 10th May deadline for last entrants and all wording to be sent across to Celina and Matr for the poster to be produced in time for the event.
5. Coronation final preparations. Double confirm who’s doing what
– Charlotte – Tea coffee scheduling, Cake competition advertisement, outdoor activities from youth group
– Matt – Poster
– Jez – Quiz
– Celina – Flowers from MM Flowers
What dates things will be ready for:
– coronation posters main and tea coffee cake competition completed end of next week so we can start getting those advertised
– Jez going to email the questions by the end of this week
– Celina to collect flowers from MM Flowers on the Sunday morning prior to the event starting
What times people are turning up to prepare – No real response to this from the group so I think we just need to state this is the time it starts and this is the support that is required Charlotte did mention she will be emailing out the schedule and who’s down for what so hopefully we can liaise and say this is what is needed – I am happy to come down on the morning and help set up the different areas also.
– Charlotte will be popping up post about cake competition and tea and coffee
– advertising cake competition early helps to bring awareness
– Charlotte is on the scheduling for the tea coffee
– allergens are not guaranteed they are free from or allergen free
– stock of free from cake individually wrapped just in case. – Celina to have a look at Costco to see if there are any suitable options for the free from or allergen free cakes
– I’m still not quite sure if we are selling the cakes from the cake competition and if it is a taste contest or look contest (sorry I forgot to ask this on the call)
– Cake competition will be held an hour before the end
– Cake domes? Can we see if anyone has any to help keep the cakes hygienic ready for contestants to take their cakes home
Crown trail esca are keen for this so Natalie going to make sure school has all this at least 1 week before
– Does anyone want to support finding crowns or designing crowns that would be amazing – twinkle Celina to see if a contact has to download the crown
6. Litter pick handover to Charlotte
– some information will be put out after the cake competition litter pickers are being lent for the session depends on number of people as to how far our area can stretch
– ask residents for areas in need of litter picking and we can try to target the area required
– promote regular pride of place
– Charlotte thinking to reach out to parish council to see if they would be interested in funding equipment to help with regular litter picks
– Charlotte will see what she can do for regular picks
– Can we use outbuilding at the pavilion to store equipment?
7. Allotments – there are new Allotments coming forward in 2024. I will email out the sketches with the invite. If you could note down any feedback, any general views. There are 2 sketches and we need to send one to detailed design, but could incorporate elements of both in the final version. All feedback gratefully received. Natalie will be available on Friday 14th April from 1-2pm in The Club to talk anyone through the plans in detail and pass on feedback to the design team.

General questions
What is the sensory planting going to be?
How does the community garden work? Can we just come plant and then other people take the crop?
How will we mitigate issues of people coming in and just doing malicious damage to the plants? Coded lock to the gate?
How will residents be able to access them do we need to call somewhere to arrange access or just turn up and help out?
Feedback on carpark is not good 4 parking spaces is not enough with the requirement of being able to bring compost and plants to and from 4 parking spaces for 20-22 private plots just isn’t going to be enough
Is there going to be someone employed to manage it?
Community planting elsewhere has a year round planting plan – allocated to different community groups and year round crops are shared use – surplus donated to community food bank etc Community notice boards to enable everyone to help towards the garden
8. Any other business
Alconbury weald youth group turns 1 birthday party Saturday 10th June members of the youth club 56 members their families and the wider community celebration kids getting involved in the celebrations door drop invitations – sounds amazing! – more information is to come – Awarded £1000 from Huntingdon District Council to pay session fees, outreach work, volunteer recruitment etc the group congratulated Charlotte for her hard work in raising this monies
